When travelling with Color Line, we will need to process some of your personal data. It is important to us that your integrity is protected, which is why we have prepared this policy outlining how we handle your personal data. Data Protection Officer

We have selected a data protection officer at Color Line who is responsible for ensuring the use of relevant knowledge and skills in order to process your personal information correctly. As a guest or customer with Color Line, you can also ask our data protection officer for assistance. If you have any questions about how we process your personal data, please do not hesitate to contact the data protection officer.

Data Controller

Our CEO at Color Line AS is responsible for ensuring that we process all personal data correctly. Color Line Danmark A/S is the data processor and Color Line AS in Norway is the data controller for all personal data released. However, to ensure that the data is managed in the best way possible, data processing is delegated to the individual managers in each of our departments.

Your rights

Insight
If Color Line stores any of your personal data, you are entitled to see this information. If you are a guest and a Color Club member and/or have created your own profile, you will find most of the information we have about you on My Page.

Rectification
We may only process personal data that is correct. If you believe that we are processing incorrect or misleading personal data about you, you may request that we rectify the data.Right to erasure

Erasure
When the purpose of collecting personal data has been achieved, Color Line has established a procedure for deleting the data. You have the right to request that your personal data is deleted. Provided there is no legal basis for continuing to store your personal data – such as legislation requiring data to be stored for a certain period of time – Color Line will accommodate your request. Be aware that Color Line has stringent requirements pertaining to identification. Color Line must ensure that we are communicating with the owner of the personal data. What does Color Line use your personal data for?

In accordance with the regulations on counting and registering persons on board passenger ships, Color Line is obligated to record some of your personal data (name, address, phone number, e-mail address, date of birth and additional general personal information) before you are permitted to travel with us. In order to fulfil our agreement with you as our customer and guest, Color Line must therefore process and store some of your personal data.

We have implemented the necessary security and organisational procedures to ensure that your personal data is protected against unlawful sharing, manipulation or deletion; and our employees know which personal data can and must be stored and for how long.

Use of personal data for marketing purposes

We wish to offer you services and products that are suitable for you and your interests. Personal data about you and information about your purchases may therefore be used in analyses and targeted marketing initiatives. This personal data is also used to manage the individual customer relationship, simplify the booking process for returning customers, and inform product development.

Color Line defines a current customer as an individual who has travelled with a Color Line service within the past 3 years, and Color Line will send news and other information to such customers via e-mail approximately once a month during this period. In order to determine which news our customers find relevant, we collect information about whether our e-mails are read and whether you click on the links contained within these e-mails. This data is then used for analysis and targeted marketing initiatives. You may withdraw your consent to this at any time by contacting us.

  • Personal data, demographic data, travel history, onboard purchases, email statistics, responses from customer surveys.
  • Detailed history is stored for 5 years.
  • Customized marketing communication (with consent), analysis, statistics, and profiling.

Procedures for deletion of personal data

  • Upon withdrawal from the club or unsubscription from the newsletter (if the customer has traveled within the last 3 years, the profile is downgraded to the customer category “Customer”).
  • Unpaid membership = downgrade to customer profile.
  • Customer inquiries and in the event of death.

Customer relationship / Accept:

What is stored and how is the information used?

  • Personal data, demographic data, travel history, email statistics, and responses from customer surveys.
  • Rule: Detailed history is stored for 3 years.
  • Customized marketing communication (with consent), analysis, statistics, and profiling.

Procedures for deletion of personal data

  • Unsubscription from the newsletter (if the customer has traveled within the last 3 years, the profile is downgraded to the customer category “Customer”).
  • The profile is deleted after 5 years with no recorded interaction on the profile, such as no new travel or no clicks in newsletters.
  • “Delete me” functionality on My Page.
  • Customer requests deletion.

Customer relationship / Accept

  • When you consent to receiving our newsletters.

What is stored & how is the information used?

  • Personal data, demographic data, travel history, email statistics, responses from customer surveys.
  • Detailed history is stored for 3 years.
  • Customized marketing communication.

Procedures for deletion of personal data

  • The customer profile is deleted after 5 years with no recorded interaction on the profile, such as no new travel or no clicks in newsletters.
  • “Remove me” functionality on My Page.
  • Customer requests deletion.

Customer relationship / Accept

  • Existing customer relationship: 3 years from the last departure date.

What is stored & how is the information used?

  • Personal data, demographic data, travel history, email statistics, responses from customer surveys.
  • Rule: 3 years from the data registration date / last departure date.
  • Customized marketing communication (with consent), analysis, statistics, and profiling.

Procedures for deletion of personal data

  • Unsubscribe from the newsletter (customer data is stored for 3 years from the last departure date, for repurchase recognition).
  • After 3 years without a new trip.
  • Customer requests deletion.

Customer relationship / Accept

  • For purchases or requests for offers.
  • Same definition as customer (existing customer relationship – 3 years from the expiry date) plus prospects (potential new customers, i.e. customers who have requested offers or contacted us).

Procedures for deletion of personal data

  • Unsubscribe from the newsletter (customer data is stored for 3 years from the last departure date, for repurchase recognition).
  • After 3 years with no recorded interaction on the profile, such as no new travel or no clicks in newsletter travel history.

Color Line APP

When using the Color Line-app the following personal information is processed for the following purposes:

  • Booking information – if you have logged on with your booking reference the app will extract booking information in a one-way communication with the Color Line booking system.
  • Purchase – all purchases made are stored in the app on your device (smartphone, tablet) providing documentation on what you have purchased and when.
  • Transactional data such as place of purchase (which restaurant on which ship), order number, name of payment card owner, time of purchase, transaction ID/payment id, VAT (mva) and transaction value is stored in the on-board integration platform for accounting purposes.

  • Purchase – Prior purchases are stored on your device given that you use the same payment card. The data is deleted when you remove/delete the app.
  • Travel - Prior orders are stored on the device assuming you have logged on the app using the booking reference. Your booking reference is stored in the Color Line App on your user until the Color Line app is deleted from the device.
  • Color Line does not store IMEI number, MAC-address of the internet connection (e.g. MAC, PC) or the phone number of the mobile device where the Color Line App is used.
  • There is no cardholder- or payment data stored in the Color Line App. Card- and payment details are encrypted in the Color Line App and are sent to Worldpay (service provider for payment solution used).
  • When ordering drinks, a hard copy print-out is made for drink preparation in the bar department.  This order copy is not stored after the purchase is registered on the point of sale (POS) device.
